Coupon Management Overview

The Coupon Management page provides a centralized interface for managing coupon pools, tracking coupon inventory, monitoring assignments, and configuring email notifications. It enables administrators to maintain coupon availability, oversee distribution, and receive alerts when inventory levels require attention.


Page Layout Overview

The page is divided into two primary sections:

  1. Coupon Pools
  2. Email Notifications

Coupon Pools

The Coupon Pools section displays all available coupon pools and their inventory status.

Components

Pool Filter

Located at the top-left of the section.

  • Displays the total number of available pools.
  • Allows users to filter and view specific coupon pools.
  • Example:
All Pools (7)

Inventory Summary

Displays aggregate coupon statistics across all pools.

Example:

Total: 34,579 active, 421 assigned

Where:

  • Active = Available coupons remaining.
  • Assigned = Coupons currently allocated.

Create Pool

Located in the upper-right corner of the page.

Button: + Create Pool  

Used to create a new coupon pool for coupon inventory management.

Refresh Inventory

Located in the upper-right corner of the pool table.

Used to reload the latest coupon inventory and assignment information.


Coupon Pool Table

The table provides detailed information about each coupon pool.

Columns

Column Description
Status Indicates whether the pool is Active or Inactive.
Pool Name Unique name of the coupon pool.
Active Number of coupons currently available for assignment.
Assigned Number of coupons already assigned.
Total Total number of coupons in the pool.
Actions Additional management options available for the pool.

Status Indicators

Status Description
Active Pool is available for coupon assignments.
Inactive Pool is disabled and unavailable for assignment.

Pool Actions

Each pool contains an Actions (⋮) menu that provides additional management functions.

Typical actions may include:

  • View pool details
  • Edit pool configuration
  • Upload coupons
  • Manage assignments
  • Delete or archive pools

Creating a Coupon Pool

A coupon pool must be created before coupons can be managed and assigned.

Steps

  1. Navigate to Coupon Management.
  2. Click + Create Pool.
  3. Enter a unique and descriptive Pool Name.
  4. Click Create Pool.

Pool Name Guidelines

Use meaningful names that clearly identify the promotion or campaign.

Examples:

  • summer-sale-2025  
  • black-friday-2025  
  • welcome-offer  
  • holiday-promo  

Expected Result

After successful creation:

  • The pool is added to the Coupon Pools list.
  • Inventory statistics become available.
  • The pool can be activated and managed as needed.

Managing Coupon Pools

Activate or Deactivate a Pool

Use the toggle switch in the Status column.

Active

  • Pool is available for coupon assignments.
  • Coupons can be distributed from the pool.

Inactive

  • Pool is unavailable for assignments.
  • Existing pool information remains accessible.

Refresh Pool Data

Click the Refresh icon to retrieve the latest coupon inventory information.

Access Additional Pool Options

Click the Actions (⋮) menu associated with a pool to perform available management operations.


Understanding Pool Statistics

The inventory metrics provide insight into coupon usage and availability.

Active

The number of coupons currently available for assignment.

Assigned

The number of coupons that have already been allocated to users or customers.

Total

The total number of coupons originally loaded into the pool.

Example

Active Assigned Total
4,787 213 5,000

Interpretation:

  • Total coupons available in the pool: 5,000
  • Coupons assigned: 213
  • Coupons remaining: 4,787

Email Notifications

The Email Notifications section allows administrators to configure recipients for coupon inventory alerts.

Purpose

Notifications help ensure coupon inventory remains available for active campaigns.

The system can send alerts when:

  • A coupon pool becomes depleted.
  • Coupon inventory reaches low-stock levels.

Notification Recipient

Displays the users who will receive coupon-related alerts.

Example:

All assigned users

Editing Notification Recipients

To update recipients:

  1. Navigate to the Email Notifications section.
  2. Click Edit.
  3. Add or remove recipients.
  4. Save the changes.

Updated recipients will automatically receive future inventory alerts.

A common administrative workflow includes:

  1. Review overall coupon inventory statistics.
  2. Filter or search for a specific coupon pool.
  3. Create new pools for upcoming campaigns.
  4. Activate or deactivate pools as required.
  5. Monitor coupon availability and assignment counts.
  6. Configure notification recipients.
  7. Refresh inventory data periodically to view current status.

  • Use clear and consistent naming conventions for coupon pools.
  • Monitor inventory levels regularly.
  • Configure notification recipients to avoid coupon shortages.
  • Deactivate unused pools instead of deleting them when historical tracking is required.
